West Atlantic Sweden AB is a cargo airline located in Malmö. We specialize in carrying time critical freight with overnight delivery. Our customers have high standards so to deliver services of top quality is a daily challenge for us. West Atlantic Sweden has a long and winding history dating back to 1955 but entered the cargo business in a small scale in the beginning of the 1990s and then organically grew to become Sweden’s largest airline in terms of fleet size by the end of the 2010s. After having passed through a metamorphosis in the last few years, West Atlantic is now a lean organization with a fleet of three Boeing aircraft, managed by a small and dedicated team that sits in our modern office in Hyllie, Malmö. Our goal is to continuously grow the fleet size and expand the operation outside of Europe in the coming years.
Our Operations team plays a crucial role in ensuring seamless flight schedules, crew readiness, and operational efficiency. Join us in this dynamic role where you’ll oversee essential planning, travel, and administrative functions that keep our operations running smoothly.
As an Operations Administrator, you’ll manage crew scheduling, arrange travel logistics, coordinate training programs, and support the day-to-day administration of our operations. This multifaceted position is ideal for an organized and proactive professional with experience in airline operations who enjoys a fast-paced, collaborative environment.
Key Responsibilities:
• Crew Planning & Scheduling:
• Develop and manage crew schedules, ensuring compliance with regulatory requirements and optimal crew resource allocation.
• Monitor scheduling alerts and resolve conflicts in real-time, working closely with Operations Control and other departments.
• Travel and Accommodation Coordination:
• Arrange travel logistics, including flights, ground transportation, and hotel accommodations, for crew positioning and training needs.
• Respond to travel changes or urgent requests efficiently, ensuring all bookings are accurate and up-to-date.
• Training Program Coordination:
• Schedule and organize crew training sessions, coordinating with the Training department and instructors.
• Track training completions and certifications to ensure all crew meet regulatory and company standards.
• Operations Administration:
• Support day-to-day operational tasks, including handling administrative duties, processing invoices, and managing documentation for compliance.
• Provide operational reports and data analysis to assist with scheduling efficiency and resource planning.
• Act as a key liaison with departments such as Fleet Planning, Training, and Finance to support a seamless workflow.
Requirements:
• Experience in crew scheduling, travel organization, training coordination, or operations administration within the airline industry.
• Familiarity with scheduling software (e.g., PDC, AIMS) and FTL regulations.
• Strong organizational and multitasking skills, with an attention to detail and accuracy.
• Excellent communication skills and ability to collaborate effectively across departments
