Part-Time Travel Organizer
West Atlantic Sweden AB is a cargo airline located in Malmö. We specialize in carrying time critical freight with overnight delivery. Our customers have high standards so to deliver services of top quality is a daily challenge for us. West Atlantic Sweden has a long and winding history dating back to 1955 but entered the cargo business in a small scale in the beginning of the 1990s and then organically grew to become Sweden’s largest airline in terms of fleet size by the end of the 2010s. After having passed through a metamorphosis in the last few years, West Atlantic is now a lean organization with a fleet of three Boeing aircraft, managed by a small and dedicated team that sits in our modern office in Hyllie, Malmö. Our goal is to continuously grow the fleet size and expand the operation outside of Europe in the coming years.
Our Travel and Crew Planning team ensures that every crew member is where they need to be—safely, efficiently, and on time. We are currently looking for a part-time Travel Organizer who will focus on arranging travel logistics for our crew members, while also supporting crew planning and training coordination as needed.
In this part-time role about 50% as a Travel Organizer with Crew Planning and Training Coordination Support, you will play a vital role in organizing crew travel arrangements, including flights, ground transportation, and accommodations. This is an excellent opportunity for someone who is detail-oriented, enjoys travel logistics, and wants to contribute to the smooth operation of airline services.
The role is flexible to fit the candidate’s needs and may evolve into a full-time position depending on your skills and the company’s requirements.
Key Responsibilities:
• Primary Focus – Travel and Accommodation Coordination:
• Organize travel logistics for crew members, including booking flights, arranging ground transportation, and securing hotel accommodations.
• Respond to urgent travel changes or adjustments, ensuring all arrangements are up-to-date and accurate.
• Work closely with travel agencies and suppliers to secure cost-effective, efficient travel solutions for crew positioning.
• Additional Duties – Crew Planning Support:
• Assist in updating crew schedules as needed, ensuring compliance with regulatory requirements and operational needs.
• Provide support with roster adjustments in response to real-time changes in crew availability or operational requirements.
• Additional Duties – Training Coordination Support:
• Support the coordination of crew training sessions by assisting with scheduling and instructor assignments.
• Help maintain training records and monitor completion status to ensure crew members meet training and certification requirements.
Requirements:
• Experience in travel coordination, logistics, or a related field; experience with crew scheduling or training coordination is a plus.
• Familiarity with scheduling software (e.g., PDC, AIMS) or travel booking systems (e.g. AMADEUS) is advantageous.
• Strong organizational and multitasking skills, with attention to detail.
• Excellent communication skills and a proactive approach to problem-solving.
