As our next Payroll Specialist at ESS, you’ll play a central role in making sure our people are paid correctly and on time. Working with a friendly and experienced team, you’ll handle monthly payroll for Sweden and Denmark and support colleagues with questions about salary, time reporting, and leave. You’ll also help keep our HR systems and data accurate, while working closely with our external payroll partner.  

The European Spallation Source is one of the largest science and technology infrastructure projects being built today. The project includes the most powerful linear proton accelerator ever built, a five-tonne, helium-cooled tungsten target wheel, 15 state-of-the-art neutron instruments, a suite of laboratories, and a super-computing data management and software development centre. In the context of its history and future as a scientific organisation, however, it is more than the sum of its parts. It is a brand-new Big Science organisation, built from the ground up.

About the role: 

ESS is at an exciting turning point. It is in transition from being a construction site, to being an operating facility. To help us realise our goal of being the most powerful neutron source in the world, we are now looking for a Payroll Administrator to join our HR admin team. 

As a HR Payroll Administrator, you will provide advice to and support the organisation regarding HR and salary-related questions from managers, employees, consultants and partners. Together with our experienced team of 3 you are responsible for all monthly reoccurring salary administration and payroll handling for Sweden and Denmark and you manage communication and collaboration to ESS salary outsourcing provider. You provide support to and advise the organisation regarding time reporting, e.g. non-standard working hours, vacation, absence, etc. and you are responsible for entering and maintaining employee information in relevant system. You will generate reports, have mutual responses for general questions in our ticket-system, the HR administration and the salary mailbox. 

You will be part of the project team to lead and drive the implementation of payroll and scheduling processes as part of Work Force Management and payroll system project. You will ensure effective implementations and updates of procedures, guidelines and rules within responsibilities. 

This is a full-time/permanent position based at the ESS Campus in Lund, Sweden.  

About you: 

Requirements: 


• Education within Payroll (or Finance) with around 5 years of experience in payroll and administration, and an understanding of the full payroll cycle. 
• Within your payroll experience, you have managed different payroll and WFM systems; it´s to you advantage if you have been working with HR+, Hogia, Agda, Unit4 or any other comparable system within the Swedish payroll area. We need you to have a good understanding of Microsoft Office, specially within Excel. 
• Fluent in English in both writing and speaking.  

To be successful in this position, we believe you are both well-structured, into details and rigid in areas where needed, but also flexible to meet high expectations of service from the organization and team. You enjoy both sides of the job and understand why they are important soft skills in this role. You need to have a drive in your day-to-day work and understand the importance of deadlines and uneven workload on a monthly basis due to deadlines.  

You will be part of a small payroll and administration team where collaboration and teamwork are key. In the coming years, we will drive change with a strong focus on digitalization, standardization, and visualisation.
